Here’s how you can fill your employees’ timesheets in the Wave payroll system: 

1. For salaried employees

For full-time employees with a fixed annual salary, you only need to enter their overtime, double time, vacation, and sick hours in the Wave invoicing app. 

You need not add any regular working hours for your salaried employees as Wave refers to the salary information in your employee’s profile to calculate their invoice amount. 

Here’s how you can fill out the timesheet for your salaried employees:

Step 1: Go to the Wave accounting app and click Payroll in the menu on the left-hand side.

Step 2: Select Timesheets.

Step 3: Next, click on the dropdown arrow next to the employee you want to enter working hours for.

Step 4: In the Overtime row, enter the overtime work hours that particular employee worked during the week.

Note: Wave supports two types of overtime: time and a half and double time. With overtime, employees earn 1.5 times their regular hourly pay rate. With double time, employees make double their regular hourly pay rate. 

However, these overtime and double time policies will differ as per your organization’s rules. 

Step 5: In the Vacation row, enter any paid vacation hours that your employee may have availed that week.

Step 6: In the Sick Time row, enter any paid sick time hours that your employee may have needed that week.

Step 7: Click Save.

Repeat the steps from 3 to 7 to fill the timesheets for all your salaried employees.

2. For hourly employees

You’ll need to enter the regular work hours for your hourly or contractual employees. 

Additionally, you can enter the exact number of hours for overtime, double-time, vacation, and sick time in the Wave invoicing app. 

Here’s how you can fill out the timesheet for your hourly employees:

Step 1: Go to the Wave app and click Payroll in the menu on the left-hand side.

Step 2: Select Timesheets.

Step 3: Click on the dropdown arrow next to the employee you want to enter working hours for.

Step 4: In the row next to the employee’s name, enter the particular employee’s working hours in the given week.  

Step 5: Enter the number of hours for overtime, double time, vacation, and sick time for your hourly employees in their respective rows (similar to the steps followed for filling timesheets for salaried employees).

Step 6: Click Save.

Repeat the steps from 3 to 6 for all your hourly employees to fill their timesheets on the Wave app. 

You can calculate your employee’s payroll based on the data you enter in all the rows for overtime, vacation, and sick time hours. 

And while the Wave payroll app is free, it charges a minimum processing fee for different payments options:

  • For credit card payments: 2.9% + 30 cents.
  • For American Express: 3.4% + 30 cents. 
  • For bank account payments (ACH): 1% (where applicable).

Besides this, the app also charges additional fees for specific use cases during payment processing.

Dispute Fee of $15: There is a one-time chargeback fee if the account holder disputes a payment transaction.

Return Fee of $5/item: For every returned bank payment (that may have happened due to non-sufficient funds or an invalid bank account), the tool reserves the right to charge a return fee.
